    About the system

    A place for everything

If you feel like you spend more time managing your files than your business: we made this for you. You're busy. Why should every business have to figure this out themselves?

So we built a standard framework that contains five areas, twenty-one categories, and 200+ IDs to organise everything in your business.

    Area 10-19

The first area is 10-19 Business administration. The categories here could be the foundation of any business, regardless of its product or service.

    The pre-made IDs here cover:

    • Hiring and training staff,
    • Managing your business premises,
    • Back and front office operations,
    • Vehicles,
    • Money,
    • Computers and data backups,
    • Travels,
    • And much more.

We're confident you will find a place for all your administration.

    Areas 20-29 and 30-39

The categories in areas 20-29 and 30-39 relate to your business. What you sell, how you sell it, and who to.

That's why there's no pre-made IDs – everybody's will be different depending on their product or service. You'll need to create your own IDs as required.

    Areas 40-49 and 50-59

The categories in area 40-49 are designed to store your creative assets. And area 50-591 is designed for creative or project work.

    The system manual

The Small Business System manual lists every category and ID, what might go in them, and any exceptions we could think of.

Take the time to read it and refer to it if in doubt – it's comprehensive and fully searchable.

We also wrote some 'ops manuals' to help with processing finances and managing backups. If you'd like to suggest more, please do.

    Deciding where things go

We've made each ID broad. The idea is that there's always somewhere to put your thing.

That place might not always feel perfect. It's impossible to design a perfect system for everyone. Don't let this get in your way.

    Close enough is good enough

If in doubt choose the first place, numerically, that makes sense. This is where your JDex shines.

If you think you'll forget where you put something, just add a note in the relevant JDex entry so you can search your notes and always find it.2

    Footnotes

    1. This is an example of an expanded area. The IDs have a different number format, allowing you to manage up to 10,000 jobs. More than enough for busy bees. ↩

    2. This page also talks about deciding where things go. It's for the Life Admin System, but the advice is same. ↩
